Retention principle

There is no single “keep everything for five years” rule.

PPWR technical documentation has its own 5-year / 10-year periods. National packaging-EPR records, PRO contracts, audit evidence, tax documents, marketplace confirmations and special-levy records can follow different periods and triggers. The engine stores the legal basis and retention trigger for each record instead of assigning one universal deletion date.

File integrity & provenance

SHA-256 fingerprints allow you to demonstrate that a retained file matches the file previously indexed in the evidence register.

For a PPWR Article 15(10) reasoned technical-conformity request, the Regulation requires relevant documentation within 10 days of receipt. Other authority, PRO, tax and marketplace requests may use different deadlines; enter the controlling deadline rather than reusing the PPWR 10-day rule.

Step 07

Legal hold & deletion control

A legal hold suspends deletion even after the ordinary retention date. Use it for open audits, disputes, investigations, corrections or other preservation requirements.

Archive deletion policy

The engine never deletes evidence automatically. A calculated “keep until” date means the ordinary retention period has been reached; deletion still requires human review of legal hold, open audits, correction windows, tax/accounting rules, litigation risk and contractual requirements.
